Site Records
Find submissions, documents needing your signature, and signed records.
Site Records is the shared home for submissions and signing on web and mobile. For an inspection or other structured form, follow safety forms.
Choose a view
- Submissions shows documents you submitted and their review status. Choose New document to start a form or upload.
- Needs signature brings assigned documents and active toolbox talks together. Choose Review and sign to read the record and complete its signing flow.
- Signed shows the current document versions and toolbox talks you have signed. A revised document that needs a fresh signature returns to Needs signature.
The Jobsite filter stays selected when you switch views. Organization-wide records remain visible for every site. On web, links preserve the selected view and site, including browser back and forward navigation.
For a document, review the content and any attachments, then acknowledge the current version and choose Sign document. If it changes before you sign, review the refreshed version and acknowledge it again. Toolbox talks keep their existing signing requirements. A loading or access error does not mean everything is signed; retry the affected list.
Scheduled forms remain available from Site Records. Signing your own records is separate from administrator review or approval of another person’s submissions.
Upload a file
- Open Site Records and choose the upload or submission option.
- Select the requested type and jobsite, where shown.
- Take a readable photo or choose the file.
- Check that the file belongs to the right person or site, then submit.
- Confirm the document appears and check whether it needs review.
Read any rejection or correction note before sending a replacement. Do not keep uploading the same file while its status is unclear; check the existing record first.
Keep the right information together
Include the pages the reviewer needs. Leave out passwords, payment details, and unrelated personal information. Use the injury-report workflow for injury medical details rather than adding them to a general document or message.
If an upload fails, keep the original file and note the error. A selected file is not proof that the upload finished.
Record actions
Use Actions beside a document to open its details or copy its reference. On the web, the menu also offers a download and a link to the document. Right-click a web record or long-press a record in the mobile app to open the same actions. Text fields and selected text keep their normal copy menus.
