Organization setup
Configure the organization before inviting workers.
Finish core organization setup before inviting a large worker group.
Setup checklist
- Confirm organization name and support contact.
- Keep at least two active Owners for access recovery.
- Create job sites.
- Create job-site groups when several sites share one operational Admin.
- Assign each Admin to direct sites or groups from Manage Permissions.
- Review punch, operational notification, and live tracking settings by role.
- Confirm plan tier and enabled modules.
- Prepare required certifications, documents, and toolbox talks.
Job sites
For each job site, confirm:
- Site name and address
- Site color for admin maps and site indicators
- Responsible Admin, group, or PM
- Workers expected on the site
- Required records
- Timecard approval owner
Site Secure assigns a color when a job site is created. Owners and responsible Admins can change the hex color from the job site detail page. Site maps use the assigned color for the exact geofence radius: the boundary is drawn as a dashed line with a soft highlight inside the radius, while worker locations stay filled so sites and people are visually distinct.
Job site detail changes, including color changes, are written to audit history.
Worker approval
Before approving a pending worker:
- Confirm the person belongs to the organization.
- Confirm name and contact details.
- An Owner assigns the correct role from Manage Permissions.
- Assign at least one correct job site or crew. A responsible Admin cannot add a worker to a site outside that Admin's scope.
- Confirm required onboarding records.
