Notifications and digests
Set site reminders, choose delivery, and follow outstanding work.
Open Notifications to see Needs attention, Activity, Completed, and Digests. Opening an alert marks it read. It stays in Needs attention until the work is resolved, you snooze it, or you choose Dismiss for me from its menu. Dismissal affects only you; the alert remains in your history. When the underlying requirement is satisfied, everyone's alert is completed and queued reminders are cancelled.
Set organization defaults and site overrides
Owners and Admins open Organization Settings → Notifications & site hours. Choose the organization or a site in your responsibility. Each site can inherit a section or override it. Enter a reason before saving. Settings history shows the change and its author; undo is available when a later change has not superseded it.
Set site hours before choosing deadlines. Each day supports two work periods, including overnight work. Without a notification schedule, daily JHA reminders use site hours when available and otherwise run Monday through Friday. Other site reminders use calendar days. An explicit notification schedule takes precedence over site hours. Observed federal holidays, planned no-work days, and shutdown periods do not count. Weeks begin Monday unless the organization selects Sunday.
| Reminder | Starting default |
|---|---|
| Missing weekly toolbox talk | Beginning of the third eligible workday; Friday at 11 a.m. is a backstop when people are confirmed onsite |
| Missing daily JHA | 90 minutes after the first scheduled start, or 11 a.m. without a schedule |
| Missing equipment inspections | Two eligible days without any inspection, only at sites with assigned equipment |
| Missing signatures | 90 minutes after the document becomes available; waits for every required signer |
| Inactivity | Five eligible days with no JHA, equipment inspection, or toolbox talk |
Change thresholds, recipients, delivery channels, repeat reminders, escalation, and quiet hours in the same settings. JHA and signature delays support 15–180 minutes. Initial recipients are responsible Admins and assigned PMs and Superintendents; Owners and Admins can customize the audience per site.
Attendance gating is on by default in Site Secure Complete and off in Standard. When enabled, the clock starts with the first confirmed onsite worker. Evidence includes confirmed location, supervisor attendance confirmation, and a signature for that workday. A late signature for yesterday does not establish presence today. For an organization-wide talk, the signer confirms one site, with GPS used when available.
Filing and signing are separate
Publishing a talk or submitting a JHA clears the missing-record alert. Outstanding required signatures remain a separate follow-up. One published organization-wide talk satisfies the weekly filing requirement across sites, while required signatures are tracked for the relevant people. These reminders help you find missing work; a published but unsigned document is not proof that everyone participated.
Personal delivery and digests
In Notifications → Preferences, choose in-app, push, and email delivery by category or individual event. Set quiet hours and choose digest contents, or follow the organization's defaults. Required account and security messages continue.
Organization Settings also controls management digest days, local delivery time, enabled recipient roles, and role content. Saved digests retain the original summary. A completion label shows when an item has been resolved since that digest; it does not rewrite the original record.
For an inactivity alert, review the site's records before choosing to keep it active, schedule a shutdown, mark the project completed, or archive it. See Project lifecycle.
